How and why Surfeo realises Minutes of Meeting ?

First, what is a Minutes of Meetings ? A MoM is a written document that centralizes what have been said during a meeting. It's a process well implemented at Surfeo and we write one after each meeting to send it to all parties concerned. The MoM list many informations relevant about prior to the meeting, during the meeting and what is following it. It will capture the essence of the meeting and reunite in a document decision made and next step planned. It is a tangible and existing document for people that attendeds to the meeting and a source of information for the one that did not.


To do useful meeting and write a good MoM, a step is very important prior to the meeting, a formalized preparation. You have to establish the agenda meaning a roadmap of what subjects will be adressed during the meeting. To be well-prepared you have to know everybody that attends to the meeting their position and motivation to attend it. Finally do not forget to take paper to take notes.


Many informations will be reunited in this document such as the name of the opportunity that justified the meeting, the attendees, the agenda, the author and the date. The second part will introduce the subject with a sentence that tells the reason of this reunion. Then, all topics included in the agenda have to be detailed to know what has been said. It's also important to not forget to mention subject that wasn't in the agenda.



This document has to be concluded by the next steps that give a visibility over what action will have to be done in the future.

To summarize, this document is a formal written proof of the meeting that reunites every information from what have been said and decided. The main goal is to give visibility about the advancement of discussion to people that didn't attend to.
